Job Description
Position: Event Supervisor (Full-time)
Location: Event Department, Anh Dao Media & Event Office
Reports to: Event Manager
Main purpose: Manage the work of operation and production
The Job:
The role of the Event Supervisor is to plan and execute events that fulfill project’s objectives. The role is very dynamic, incorporating a wide variety of tasks and event types. Working to deadlines, planning and project management will be a common feature of work to ensure events run well. There is a strong people-focused element to this role by virtue of liaising with event contributors, venues, suppliers, partners etc. On the day of an event, problem solving, creativity and determination all play their part in making an event successful.
Main Duties and Responsibilities:
- Event concept creation, e.g: themes, message, purpose
- Act as the company liaison for the events production team
- Draft and adhere to event project budgets
- Prepare and manage documents to track cost and expenses
- Venue assessments to create floor plans
- Logistics and coordination of technical aspects, e.g: lighting, sound, staging
- Vendor contracts and agreements
- Sourcing and management of staff, event crew, and security
- Printing and distribution management
- Identification and booking of all contributors, e.g: preachers and worship leaders
- Liaising with speakers, performers, venues and other suppliers so that all elements for an event are properly booked, organized and accounted for
- Project planning for each event, including budgeting. Monitoring against plan
- Organization of all materials needed to be shipped to an event in good time, working with the Account team
- Ensuring all events are properly staffed, with Account team
- Ensure all PA and Audio Visual are created and tested in advance of the event
- On the day of an event, to lead the team on the ground for event setup
- Working across departments to ensure all Premier objectives are achieved
- Create a post event evaluation report, for the Account team, Finance team and Executive
- Help achieve company goals by helping to plan and organize logistically successful events
- Procure all necessary event permits and sanctions
- Develop and implement event production timelines
- Develop and execute plans for event staffing
- Coordinate and manage events within guidelines established
- Analyze event operations and prepare and implement recommendations for improving operational efficiencies within the events
- Manage and control event expenditures within agreed budgets
- Identify, secure bids and contract event vendors
- Coordinate the on-site event environment
- Maintain all event equipment in proper working condition
- Manage transportation of equipment and supplies to event locations
- Prepare daily/weekly status reports for management
- Performing other event related duties as assigned by management
- Hire, train, and educate staff on proper event procedures
- Book venues and negotiate fees
- Ensure staff is adequately prepared for event
- Set up decorations, structures and other event décor
- Post event reporting and evaluation
- Be a team player
Qualifications & Experience:
- University degree or college diploma in business, marketing, production, or related field
- 5 years experience in Event Supervisor or related field is required
- Relevant strong experience in event management
- Ideally educated to HND/Degree in business related subject
- Willingness to be trained in First Aid
- An understanding of media and web is desirable
- Experience of working in a busy, high pressure environment
- Ability to develop professional relationships in all aspects of the position that result in stable, consistent, reliable, and courteous communication when dealing with other organizations

- Basic handyman skills and experience working with a variety of tools
- Interest and knowledge of the sport and event industry

- This job requires some flexible working at weekends, evenings and trips away from Vietnam
- Ability to travel is required
